The full Privacy Policy is published as a separate document so that it can be kept current in one place. The essentials are:

• The App is used only by authorised government officers. There is no public sign-up.
• We collect your name, mobile number and (where applicable) email address, the surveys, photographs, documents, issues and remarks you submit, a site's GPS coordinates captured once per site, and device information recorded at sign-in — device identifier, platform, model, OS version, app version and build number.
• We do not collect your IP address, do not use any advertising identifier, and include no third-party analytics, crash-reporting or marketing software of any kind.
• We do not access your contacts, SMS, call logs, calendar, microphone, or existing photo library, and we never track your location in the background.
• All data is stored in India, in the AWS Mumbai region (ap-south-1).
• Information is shared only with authorised government officers, our cloud provider, the SMS chain that delivers your One-Time Password, and our implementation partner. Nothing is sold, rented or traded.
• Inspection records are retained for at least 7 years as an official audit record.

Terms of Service #terms

1. Acceptance of Terms

By accessing or using the Field Inspection · Vellore mobile application ("the App"), you agree to be bound by these Terms of Service and by the Privacy Policy. If you do not agree, do not use the App.

The App is provided by the District Administration of Vellore, Government of Tamil Nadu, and is built and maintained on its behalf by Farmwise AI Private Limited as technology implementation partner.

2. Authorised Use Only

This is a private government application made available exclusively to officers and staff explicitly authorised by an administrator. You may use the App only if your account was created by an authorised administrator and you have been granted access for the purpose of carrying out official duties.

Any unauthorised access — including attempting to sign in with credentials that are not yours, or attempting to bypass authentication — is prohibited and may be an offence under the Information Technology Act, 2000 and other applicable law.

3. Your Responsibilities

When you use the App, you agree to:

• provide truthful and accurate information in surveys, issues and remarks
• submit a survey only for a site you are actually visiting and are assigned or entitled to inspect
• never share your One-Time Password or your password with anyone, including colleagues
• never allow another person to use your account, and never use another officer's account
• not photograph the faces of children, patients, or members of the public, and not photograph identity cards, financial documents, medical records or anything else not directly relevant to the inspection
• not enter the personal details of members of the public into free-text fields
• not upload content that is unlawful, defamatory, obscene or otherwise inappropriate
• report any suspected unauthorised use of your account promptly
• use the App in compliance with all applicable law and government policy

4. Intellectual Property

The App's software, design, logos and documentation are the property of the District Administration of Vellore, Government of Tamil Nadu, and/or Farmwise AI Private Limited, and are protected by intellectual property law. You receive a limited, non-exclusive, non-transferable right to use the App for official duties only. You may not copy, modify, reverse-engineer, decompile or redistribute the App or any part of it.

Survey responses, photographs, documents and issues you submit in your official capacity form part of the official audit record of the District Administration.

5. Availability and Updates

The App is provided on an "as available" basis. We do not guarantee that it will be available without interruption, free of error, or compatible with every device. We may modify, suspend or discontinue the App or any of its features at any time without prior notice.

We release updates from time to time. Some updates may require you to update the App on your device in order to continue using it.

6. Account Suspension and Closure

An administrator may suspend or deactivate your account if:

• you leave the role for which the account was created
• you breach these Terms of Service
• you misuse the App or the data within it
• your access is no longer required for official duties

You may also request closure of your account yourself — see the Account Deletion Procedure. Note that closing an account ends your access but does not erase the inspection records you submitted.

7. Limitation of Liability

To the maximum extent permitted by law, the Government of Tamil Nadu, the District Administration of Vellore, their officers, and Farmwise AI Private Limited shall not be liable for any indirect, incidental, special or consequential loss arising from your use of, or inability to use, the App. Total liability shall not exceed any fee paid by you for use of the App, which is nil — the App is provided free of charge to authorised officers.

8. Indemnity

You agree to indemnify and hold harmless the Government of Tamil Nadu, the District Administration of Vellore and Farmwise AI Private Limited against any claim, loss or damage arising from your misuse of the App, your breach of these Terms, or your violation of any law in connection with your use of the App.

9. Governing Law and Jurisdiction

These Terms are governed by the laws of India. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent courts at Vellore, Tamil Nadu.

10. Changes to These Terms

We may amend these Terms from time to time. The effective date at the top of this section will reflect the most recent revision. Continued use of the App after that date constitutes acceptance of the amended Terms.

Account Deletion Procedure #account-deletion

What closing your account does:

• your ability to sign in is permanently revoked
• sessions on all your devices stop working immediately
• your site and department allocations are released for reassignment
• uninstalling the App removes all locally stored data from your phone

What it does not do:

• it does not erase the surveys, photographs, documents, issues or remarks you submitted
• it does not remove your name from those records

Those records are an official government audit record showing that a named officer inspected a named facility on a given date. They are retained for at least 7 years, and the right to erasure under the Digital Personal Data Protection Act, 2023 does not extend to personal data that must be preserved to comply with a legal obligation. Your rights to know what we hold, to have inaccurate contact details corrected, and to raise a grievance are unaffected.

If a specific record contains something that should never have been captured — a member of the public's face, an identity document, personal details entered in error — that is handled separately and we will act on it.
